In an office move, IT is what decides whether people can work on Monday morning. Plan it as its own project inside the move.
Two weeks before
- Make an inventory of every computer, monitor, printer, switch, router, UPS and server
- Confirm internet installation at the new office for the day before the move
- Agree who disconnects and reconnects: your IT team, vendor or both
- Plan the new office layout with desk numbers and network points
The day before
- Full backup of servers and shared drives; verify the backup works
- Ask staff to save work to the network or cloud and log off
- Photograph cable connections at racks and key desks
Packing
- Label each device with the new desk or rack number
- Bag and label cables, keyboards and mice per desk
- Anti-static bubble wrap for CPUs and servers; foam for monitors
- Remove printer toner cartridges and bag them
- Keep backup drives with a named person, not on the truck
Moving day
Move the servers and network equipment first so they can be powered up and tested while desks are being set up. Desk equipment follows, room by room.
After the move
- Test internet, servers, printers and access control before staff arrive
- Walk each floor to check every desk powers on and connects
- Keep IT support on site for the first morning
